Job Description:

This is an excellent opportunity to be part of a leading outdoor power equipment brand. As the Accounts and Office Administrator, you will be based at STIHL Shop Te Rapa, where you will oversee and manage all accounts and cross-functional office functions for both our stores.

About the Role:

  • You will be responsible for managing budgets, bills, emails, and all things admin.
  • As the first point of contact, you will handle phone and email inquiries with great professionalism.
  • You will manage bank reconciliations, prepare financial reports, and monitor OPEX expenditure.
  • Additionally, you will manage sponsorships and donation requests, onboard new employees, and co-ordinate staff training programs.
  • You will ensure compliance with health and safety regulations and company policies.

Responsibilities:

  • Accurate data entry into the software system.
  • Manage accounts processing, including timely and accurate payments, accounts receivable and payable, invoicing, and aged debtors management.
  • Bank reconciliations.
  • Prepare financial reports, including Profit & Loss and aged trial balance.
  • Monitor OPEX expenditure and provide financial analysis to support business profitability.
  • Manage budgets and cash flow transactions, including monitoring and reporting OPEX.
  • Manage Credit applications.
  • Ensure accurate record-keeping and timely business reporting.
  • Manage and co-ordinate accuracy in warranties and product returns (RMAs).
  • Assist with sales quotes and follow up on open orders.

Requirements:

  • At least 3 years of experience in an Office Manager, Administrative Assistant, and Accounts Management or similar role.
  • Strong leadership, multi-tasking, and prioritisation skills.
  • Excellent communication skills and a proactive approach to problem-solving.
  • Strong data entry and numerical skills, with excellent attention to detail and accuracy.
  • Proven track record with experience and knowledge of accounting principles and accounts management processes.
  • Experience with accounting software and Microsoft 365 Office suite skills.
