Our team is committed to providing the best customer service and expertise to our customers.About the role:As the Accounts and Office Administrator, you will be based at STIHL Shop Te Rapa, where you will be responsible for overseeing and managing all accounts and cross-functional office functions for both our stores, STIHL Shop Te Rapa and STIHL Shop Botany.
This role demands a highly organised and experienced individual with strong data entry and analysis skillset.
This role requires a person who can manage business processes, ensuring efficiency and effectiveness while working independently and supporting other areas of the business.What you will do:Keep all our accounts/books balanced, emails & on-site phones answered, and running of our office like a well-oiled machine.Manage budgets, bills, e-mails and all things admin.You will be the first point of contact, the go-to for answers, and the person who just knows how to make things happen.The Job entails:Accurate data entry into the software system.Manage accounts processing (co-ordinate timely and accurate payments, accounts receivable and payable, invoicing, and aged debtors management), ensuring accuracy in all financial transactions and reporting.Bank reconciliations.Prepare financial reports including Profit & Loss and aged trial balance.Monitor OPEX expenditure and provide financial analysis to support business profitability.Manage budgets and cash flow transactions including monitoring and reporting OPEX.Manage Credit applications.Ensure accurate record-keeping and timely business reporting.Manage and co-ordinate accuracy in warranties and product returns (RMAs).Assist with sales quotes and follow up on open orders.Manage sponsorships and donation requests, keeping management informed of opportunities.Manage customer inquiries via emails and telephone with great professionalism.Manage office and staff room supplies.Implement and maintain office administrative procedures.Onboard new employees and co-ordinate staff training programs and manage staff qualifications register.Ensure compliance with health and safety regulations and company policies.Co-ordinate & manage marketing and advertising campaigns with senior management, to enhance brand visibility.First point of contact for phone and email inquiries.Skills and experience:You must have at least 3 years in an Office Manager, Administrative Assistant and Accounts Management or similar role, with a proven track record of keeping everything organised and running smoothly.Strong leadership, multi-tasking and prioritisation skills.Excellent communication skills and a proactive approach to problem-solving.Strong data entry and numerical skills, with excellent attention to detail and accuracy.Proven track record with experience and knowledge of accounting principles and accounts management processes.You have strong experience with accounting software, and excellent Microsoft 365 Office suite skills.Experience in budgets, calendar scheduling and costings.Your attention to detail and ability to create pragmatic systems making you a natural at juggling priorities.Be able to manage all things admin.You don't wait for tasks to land on your desk – you spot what is needed and dive in headfirst with the ability to work independently while supporting a growing business.What do you get in return?We offer a competitive remuneration package, an excellent working environment, a fantastic team who take care of one another and value each other's input, plenty of room to grow and develop, PLUS great industry-leading training.This is a full-time role, however, we are open to discussing more flexible hours for the suitable candidate.If you're looking for a positive work culture and the chance to progress your career with one of New Zealand's leading outdoor power equipment brands, we would love to hear from you
