Role purpose I Te Kaupapa o te Tūranga

We're looking for someone to help provide administrative coordination and support to the National Infrastructure Plan (NIP) Programme Manager and team, which includes assistance with stakeholder engagement, project tracking and planning, reporting and wider organisational support as required.

This role requires an enthusiastic and skilled coordinator who can work with an experienced team of infrastructure professionals who are motivated to improve the infrastructure outcomes for New Zealand.


Key responsibilities will include:

  • Support the planning and coordination of the programme team's external engagement activities including workshops, events, presentations and key stakeholder meetings.
  • Engaging with a wide range of stakeholders, internally and externally.
  • Arranging travel and accommodation for the programme team.
  • Managing the diary of the Programme Manager, if required.
  • Support the wider programme team with their work streams including project tracking and reporting.
  • Assisting with team preparation for Board meetings. This includes maintaining processes and procedural documentation, ensuring that reports are submitted appropriately and ontime, and ensuring senior staff are adequately supported.

  • Demonstrated experience in providing senior management with administrative support and coordination services (preferably an experienced administrator or a team coordinator).
  • Prior experience with stakeholder engagement and event coordination.
  • Previous experience in project management software is desirable.

  • Strong document management and Microsoft office skills (particularly Word, PowerPoint, Excel and Microsoft Office).
  • Strong interpersonal, verbal and written communication skills.
  • Strong initiative, with sound judgement and the ability to 'join the dots'.
  • The ability to work autonomously and across multiple teams.
  • Solution oriented, resourceful, and proactive coupled with the ability to work to deadlines.
  • An understanding of project management frameworks and tools is beneficial.
