**About the Role**:
Our client is looking for a skilled Executive Assistant to join their team on a fixed-term basis, supporting the Associate Executive Director of Operations.
This is a unique opportunity within an organisation involved in some of Aotearoa’s most important work. You will contribute to the success of the business through your exceptional organisational skills and ability to handle confidential information with utmost discretion.
The key requirements of the role are as follows:
- Support executives with daily administrative tasks, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Prepare and edit documents, reports, and presentations, ensuring accuracy and confidentiality at all times.
- Coordinate and organise meetings, conferences, and events, managing logistics, agendas, and documentation.
- Conduct research and gather relevant information to assist executives in decision-making processes.
- Maintain organised filing systems, both physical and digital, to ensure efficient record-keeping and data management.
- Exercise discretion and maintain strict confidentiality when handling sensitive information.
**About You**:
You will provide comprehensive administrative support to the Associate Executive Director, ensuring smooth day-to-day operations. This role has the requirement to exercise discretion, manage confidential information, and assist the executives in making informed decisions.
- Previous experience as an Executive Assistant or similar role.
- Strong organisational and time management skills, with the ability to prioritise tasks effectively.
- Excellent verbal and written communication skills, including the ability to draft professional correspondence.
- Proficiency in using productivity software, such as Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
- Detail-oriented mindset with a focus on accuracy and maintaining high standards.
- Ability to work independently and collaboratively, managing multiple tasks simultaneously.
- Professional demeanour, ethical conduct, and ability to maintain confidentiality.
