**The Main Purpose Of This Position Is To**:
- Provide efficient and confidential personal assistance, and financial and administrative assistance to the Managing Director, supporting the Managing Director/Executive Chair in all aspects of their role. Estimate 30% of the role
- Provide full administrative assistance to the Development Manager, and Project Manager. Estimate 60% of the role
- Provide EA assistance to Company's in-house legal counsel. Estimate 10% of the role
**Duties & Tasks - Key Accountabilities**:
- EA support for the Business Development team
- Arranging travel schedules and making all necessary reservations for MD and Business Development Team
- Ensuring oversees Executive expense reconciliations are processed in a timely manner
- Diary management
- General administration
- Collating and sorting the MD's mail, reading material, and signing authorisation
- Organising, coordinating, and arranging agendas, minutes, and supporting paperwork for weekly and monthly MD and project team meetings, board meetings, and any other meetings as required by the MD and ensuring that follow-up items are actioned
- Acting as the first contact for Board members
- Filing for data room and record-keeping
- Organising multi-attendee meetings, including video meetings
- Powerpoint presentations
- File setup and management for Business Development Team
- Preparation of meeting rooms
- Management and filing of confidential information, including Senior Executive employment agreements, etc
- Organising and coordinating meetings for the MD
- And more
**Possible Previous Experience Might Include**:
- Legal Executive background
- Professional services experience (i.e., Accountants or Lawyers)
- Public Company experience
**About You**:
- Enthusiastic, positive, and well presented
- Ensures effective customer satisfaction
- Demonstrated computer skills and advanced competency with Microsoft Office Suite
- Minimum of 1-2 years experience at a supervisory or management level in office administration
- Demonstrated organisation and time management skills
- Demonstrated strong communication and interpersonal skills
