If so, we have an exciting opportunity for you to join our team as a Financial Administrator & Office Manager at Pengelly Bennett & Sons, a leading Project & Service Electrical Contractor.Role Overview:Based in our Office in Onehunga, as our Financial Administrator & Office Manager, you will play a pivotal role in the day-to-day operations of our office.
Your responsibilities will range from efficiently managing office tasks to handling financial administration using Xero and Simpro software.
Your organizational skills, attention to detail, and proactive approach will be vital in ensuring the seamless functioning of our operations.
This role is currently 32.5 hours a week, but we are looking for someone that could grow into a full-time role should the opportunity arise.Key Responsibilities:Office Management:Take charge of daily office operations, including visitor reception, phone calls, and mail distribution.Monitor and manage office supplies, placing orders as necessary.Catering & Event Coordination when required.Financial Administration:Handle Accounts Payable and Accounts Receivable processes, reconciling statements and chasing payments.Generate accurate customer invoices for projects and services through Simpro.Manage Purchase Orders and Receipts, ensuring accuracy and timely processing.Reconcile bank accounts daily in Xero.Update daily Cash Flow Forecasts.Assist with expense management and proper documentation.Payroll & HR:Process weekly payroll accurately and in compliance with labor regulations.Assist in onboarding new staff members and maintaining accurate records.Handle leave scheduling and calculations.Manage timesheets, overtime, and final pay calculations.Assist with Social Club deductions.Business Support:Provide support for SimPro PC & Mobile App usage, assisting new staff with onboarding.Maintain and update client records in our CRM databases.Oversee vehicle fleet management.Oversee Tool and Asset Register.Oversee Stock Take.Monitor and manage office email inboxes, ensuring timely action.Communicate office updates and reminders to the team.Service Coordinator:Customer liaison.Creating and Scheduling jobs.Managing the Service Technicians Schedule/s.Uploading Electrical Certificates.Requirements:Strong organizational skills and attention to detail.Proficiency in Xero, Simpro, and Microsoft Office Suite.Experience with Ipayroll preferred.Excellent communication and interpersonal abilities.Previous experience in office management and financial administration preferred.Knowledge of the electrician industry or similar trades preferred.Benefits:Competitive salary and benefits package.Opportunity to work in a collaborative and supportive team environment.Chance to contribute to the growth of a leading Project & Service Electrical company.If you're ready to take on a multifaceted role where your administrative skills and financial acumen will shine, apply now by sending your resume and a cover letter.
