OVERVIEW

The primary function of this position is to support and anticipate the requirements of the executive and to ensure that their schedule is organised and operates efficiently. At times this may mean acting as the Executives personal representative. This position will also be the lead on ANZ CSR and DE&I initiatives and projects

Requirements - EA to SVP & HEAD of Networks:
  • Complete a broad variety of administrative tasks for the executive including; managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; screening phone calls and visitors, arranging detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Ensure all Group corporate creditor invoices and statements are coded, processed and forwarded to Finance.
  • Manage and coordinate the executive's diary through scheduling and organising meetings, prioritise conflicting needs and handle matters proactively including; booking facilities/meeting rooms, refreshments and catering, ensure the executive and meeting attendees are notified, properly equipped and prepared.
  • Acts as a "barometer", having a sense for the issues taking place in the environment and keeping the executive updated.
  • Research and prioritise incoming issues and concerns addressed to the executive, including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response and follow up appropriately.
  • Provide a bridge for smooth communication between the executive and internal departments.
  • Constantly seeks opportunities to add value to the executive and to introduce process improvements.
  • Manages external contacts; understands who they are, and keeps track of periodic communication needed for primary contacts including their EA's.
  • Management of various projects as and when required.
  • Flexibility to work varied hours when required.
  • The employee shall ensure they are familiar with the employer's health and safety policies and procedures, and any modifications to those policies and procedures that may be introduced from time to time.
  • Carry out your work safely and without endangering or causing harm to yourself, fellow staff members, contractors, customers, visitors, or the general public.
  • Other duties as required.
  • The Company may, after fair and reasonable consultation, change your duties, from time to time, for commercial reasons but not so as to substantially change the nature of the position.
Responsibilities - CSR:
  • Work on projects that feed into WBD CSR overall strategy.
  • Ensure a company has a positive impact on local communities and the environment.
  • Raise public awareness of a company's social responsibility commitments through marketing.
  • Conduct research into best practice.
  • Creat partnerships with clients, employees, suppliers, charities, and other groups.
  • Ensure that a company's policies meet legal and commercial needs.
  • Organize events for employees.
  • Encourage links between the company and educational or charitable groups.
  • Spread the word in schools and local organisations about the company and construction in general.
  • Report on social responsibility activity to senior leaders.
  • Support and facilitate ERG or BRG activities (employee groups).
Responsibilities - DE&I
  • DE&I work on projects that reinforce diversity in the workplace.
  • Work with TA to ensure that DE&I is reflected in selection criteria and tools.
  • Work with communications team to ensure all internal and external comms use non-discriminatory language.
  • Review our selection criteria to verify they're objective and strictly job-related.
  • Measure and forecast ANZ diversity metrics.
  • Act as a consultant to underrepresented groups and make sure all voices are heard.
  • Organise training related to DE&I initiatives.
  • Ensure compliance with WBD diversity strategy requirements.
  • Polished professional with significant experience supporting an executive in a fast paced, dynamic environment.
  • Advanced PC skills.
  • Proficient with technology including mobile devices.
  • Experienced in handling a wide range of administrative and executive support-related tasks.
  • High level of professionalism and demonstrated ability to handle confidential information accordingly.
  • Excellent verbal and written communication and professional presentation skills.
  • Strong organisational and prioritisation skills that reflect the ability to perform and prioritise multiple tasks seamlessly with excellent attention to detail.
