Mō tēnei tūranga | About this role
The main focus of this role is to support the Ministry's Ownership and Occupancy team. The Ownership and Occupancy team is a small national team, with people based in Hamilton, Wellington and Christchurch.
We are a diverse team with a high trust culture, and are always keen to improve how we do things.
Your key priorities will include:
- Property contract administration, including our insurance contracts (school building insurance and contract works insurance), our building warrant of fitness (BWOF) programme, and our fire alarm upgrade programme.
- Supporting the team in tasks related to lease management including searching land records, processing property information, and other outputs as required.
- Managing the information generated by the team.
- Preparing meeting documentation, managing team invoices and purchase orders, and other administrative support tasks as required.
- Contribute to the preparation of responses to queries from schools, the public, the media, Ministers and Official Information Act requests.

Mōhou ake | About you
You will ideally offer:
- Proven experience in providing exceptional support to a busy team, preferably in an insurance or property context.
- The ability to use technology effectively as part of daily tasks. This role involves using spreadsheets, database administration, reporting to external insurers, and using our property and financial systems.
- Proven experience and expertise in managing relationships, preferably in a large and/or complex operational delivery context.
- A high standard of written and oral communication.
- Strong organisational skills.

The Ownership and Occupancy team is responsible for leasing and licensing land, managing the easement portfolio, administrating our contracted services like insurance, building warrants of fitness and the fire alarm upgrade programme, and keeping the information and records in our property management system up to date.
We are an energetic and supportive team, looking for a Coordinator who is enthusiastic about insurance, Crown property, thorough record management, and motivated to get the job done.
