**Te whiwhinga mahi | The Opportunity**
The National Public Health Service within Te Whatu Ora, work towards Pae Ora (healthy futures) for all by engaging with the wider determinants that impact people's health, focusing on oranga/wellbeing, prevention, protection and population-level intervention. We are connected across boundaries to deliver public health services that are nationally planned, regionally delivered and locally tailored.
This is a full-time, permanent role, offering you a high-level busy role where you will be in your element providing the highest level of support. The primary purpose of the **Executive Assistant** role is to provide high quality, timely one-to-one executive support to the Deputy National Director / Director Planning, Performance and Purchasing of the National Public Health Service. This will include dealing with matters of a highly confidential and sensitive nature.

As an experienced Executive Assistant, you will enjoy solving complex problems, are motivated by top-notch performance and are someone that excels in a behind-the-scenes supporting role. To be successful you must be able to work fast-paced, juggle changing priorities, work cross-culturally and be someone that naturally enjoys an environment and role that is constantly changing.
**Ngā pūkenga me ngā wheako | Skills and experience**
- 5-10 years previous experience in an Executive Assistance role, or similar, providing support to senior executives and their team
- Able to provide advanced and complex diary management with a strong focus on forward planning and time management ensuring the Deputy National Director achieves their key priorities
- Professionally manage the Deputy National Director's correspondence in a way that ensures they are investing time on the right outcomes and deliverables
- Partner and collaborate with the other senior leadership team members as and when required, and those within the Deputy National Director's area of responsibility
- Schedule meetings, create agenda and record minutes and maintain a schedule of actions
- Collaborate closely with the Executive Assistants across National Public Health Service
- Contribute to the improvement and development of business administrative processes, procedures, and systems within the NPHS and across Te Whatu Ora and Health Promotion Agency
- Respond effectively to the public, Ministers, Ministers' Offices, Chief Executives from other government organisations and other executive managers
- Demonstrated experience in a medium to large complex organisation, or other government agency
- Advanced skills in the MS Office Suite with special emphasis on Outlook & Microsoft Teams
- Excellent interpersonal, oral, and written communication skills and the capacity to manage relationships at all levels, including with senior officials and with health sector leaders
