**The Opportunity**:
We are on the lookout for an experienced
**Executive Assistant** to join us.
Supporting our Chief Information Officer (Billy Miller) and Chief Customer Officer ( Peter Doherty) this role will provide effective administrative and operational assistance, whilst also contributing to activities that drive our business forward. This is a fulltime, permanent opportunity requiring both on-site and off-site support.
Success in this is role is enabling our executives to function effectively allowing them to deliver their strategic obligations whilst promoting the team culture, performance, and operating rhythm. The opportunity will also provide a wide range of administrative/general office support to the executive’s broader teams when as and when required.
Some key responsibilities include:
Administrative support
- Managing complex calendars including strategically scheduling, managing, and prioritising meetings to align with key priorities
- Managing inboxes, including responding or drafting responses to internal and external stakeholders on behalf of executives where appropriate
- Handling all travel arrangements
- Ensuring the timely review and submission of expenses
- Providing polished on-site and offsite guest liaison and hospitality experiences for external guests
Planning and Reporting
- Co-ordinating and supporting with regular reporting for Boards, Committees, Forums and Regulator meetings
- Supporting executives with annual and quarterly planning cycles
Team collaboration and organisation
- Seeking out opportunities for team efficiency gains, cost reduction, control enhancement
- Contributing to executive leadership meetings ensuring follow ups are done on action items, project deadlines and deliverables
- Organizing the management of large-scale team events and offsites including the coordination of venues, agendas and logistics
**About You**
With 5+ years of experience in a senior EA role preferably within the finance or insurance sectors, you will bring initiative, professionalism and well-developed planning and organisational skills.
You thrive in a fast-paced, changing work environment where you can prioritise effectively, take ownership where required and pride yourself on accuracy and attention to detail in your work.
You will also possess:
- Outstanding communication skills both written & spoken
- Excellent interpersonal skills & ability to build relationships at all levels
- Excellent technology and app skills - including across Microsoft Suite; Teams, Word, PowerPoint, Excel, Outlook, OneNote; Experience with virtual events platforms would be highly regarded.
- Experience with organizations that are on a transformation journey will be advantageous
- Demonstrated ability to prioritise leaders scheduled with ability to make judgement calls and decisions based on rapidly shifting priorities.
