We have a superb opportunity available for a highly organised and competent Business Support Lead who is down to earth and efficient to join our Auckland based office.

Reporting to the CEO, you will enjoy autonomy and take ownership of the role, providing executive and administrative support to the CEO, board and senior management team.

You will oversee the maintenance and running of all Theta's offices on a daily basis and manage a small team of office administrative staff across all regions with regard to their administrative duties such as overseeing travel bookings, Purchase Order processes, training and exam bookings, etc.

Other key responsibilities involve supporting the smooth running of the board and senior management team which includes arranging weekly management meetings, taking minutes and coordinating actions as required.

You'll organise and set up board meetings, catering, distribute monthly board reports and papers and take minutes.

Taking responsibility for supporting the Health and Safety processes, monitoring and implementation of the Theta offices as well as minute taking of the H&S Committee meetings is required.

You'll also manage Policies schedules and assist management to review/add/update policies as required.

Additional tasks include organising/supporting other initiatives/events as required, e.g., staff Christmas functions, office and staff social events, anniversary staff lunches.

You will also be required to take on ad hoc tasks as directed by the CEO.

Skills and Experience Required:

  • Business support background at both CEO and senior management level with proven experience supporting and liaising at board level is essential
  • Extensive background in general office administration including finance
  • Proven leadership experience in managing administration staff is essential
  • Experience with Health and Safety processes is a bonus
  • Experience in office and facilities management
  • Exceptional communication skills, verbal and written
  • Time management & organisational skills to manage shifting priorities
  • Adaptable to change, uses initiative and can work independently
  • Sound knowledge of Microsoft Office including Word and Excel
