Your Opportunity

We are seeking a passionate professional who has great experience and a background in providing Executive level support, with leadership capabilities.

As the Business Services Lead for New Zealand, you will play a pivotal role in a growing office in a professional services environment.

You will be supporting the Managing Director and senior leadership team to deliver outstanding results for our people and our clients.

We are looking for a solid operator who is adaptable, flexible, and brings excellent communication skills and capabilities.

This is a fundamental position that will not only support the Managing Director as the key Executive Assistant but lead the business services team to success.

This role will develop and strengthen your skills with variety whilst working closely within a supportive team.
The Mott MacDonald Auckland office is based in the vibrant Wynyard Quarter and close to public transport.

Reporting to the Managing Director you will be supporting the management of a busy office of approximately 230 staff, executing, and coordinating tasks to support events management, marketing, finance functions and human resources.

With an advanced skill level in Microsoft Office, you will support the development of bids, proposals, submissions, and presentations as well as board papers.

Experience with coaching and leading a small administration team is essential.

You will have the ability to create an environment which motivates people to do exceptional work; encourages the adoption of new technologies and retains great people.


Main responsibilities of this role include:
Team leadership and development and primary administration lead to the office.

Events management, including annual meetings (including Board meetings on occasion), client and staff events and other core location activities.


Primary liaison and brand ambassador with our marketing partners in the preparation of marketing materials, bids, proposals, submissions, and presentations.

Prepare papers, reports, bids, proposals, and submissions.


Manage and help with finance administration such as invoices, coding of accounts and expense claims to ensure they are completed on time and to standard.

On-boarding of new staff, contractors and international staff.

Provide support to Managing director as required

We would also like to see:

  • Highly developed interpersonal and communication skills with the ability to build and maintain great relationships both internally and externally.
  • Experience in preparing reports, papers and presentations and other communication materials
  • Excellent organisation skills with the ability to prioritise multiple tasks and deadlines
  • A high degree of maintaining discretion
  • Experience using Adobe Creative Cloud, PowerPoint, Word, Excel
