Te whiwhinga mahi | The Opportunity


The core purpose of the Hospital and Specialist Services directorate is to deliver high quality hospital and specialist services to the people of Aotearoa, when they need it.

The Hospital and Specialist Services National Functions exist to support regional and local teams and they will work closely with the teams that support and deliver care.


The primary purpose of this role is to provide administrative support and coordination across the function to ensure efficient and effective operations.


In this role, you will work with a team of Executive Assistants and support them through clear prioritising of required work and deliverables, ensuring timelines are planned in order that deadlines are met.

You will also provide coordination and reporting support across plans to assist Senior Leaders with their work and deliverables.


On a day to day basis you will ensure the smooth management of meeting times, preparation of agendas and minutes, local accounts as required and ordering of consumables for the wider team.

You will also be responsible for facilitating clear communications, and developing presentations and documentation as required.

You will be a pro-active and enthusiastic administrator who works well as part of a team, but can use your initative and work independently when needed.

You will be required to work with a range of teams and audiences in this role so you will need to be an excellent communicator who is able to engage with stakeholders and network across the Hospital and Specialist Services directorate and the wider organisation.

  • Experience providing support and administrative services in complex business environments with multiple stakeholders across multiple activities (in the range of 5+ years)
  • Experience working in a business function dealing with confidential, private, and sensitive information
  • Demonstrates willingness, and ability, to build constructive/effective relationships with other teams and partners to enable and assist with the delivery of pieces of work
