About the role:


We have an opportunity for an Office Administrator to join us at our Auckland based office on a permanent full-time basis.

This role is based at The Quad (Leonard Isitt Drive, Auckland Airport) which is within walking distance from Countdown, Chemist Warehouse, Jetts Fitness, cafes, take-away shops, and restaurants.


In this role, you will be the key point of contact for any office visitors and support the delivery of administrative services for the Auckland office.


Key focus areas:

  • Meet and greet visitors and vendors and ensure visitor registration processes are practiced in accordance with requirements and all visitors are greeted in a timely manner.
  • Supports wider office cohesion by assisting with company events and functions as required by teams including catering, organising event rooms / venues etc.
  • Provide highquality administrative support to the Auckland based Executive Assistants including but not limited to travel bookings, Finance Systems (Dynamics) support and associated activities, new employee / onboarding support, courier / mail distribution, stationery and kitchen stocks maintained etc.
  • Proactively manage and coordinate any facility or property issues, for our buildings as directed by the manager e.g. repairs and maintenance.
  • Ensure that the kitchen, coffee machine, and meeting rooms are tidy and maintained.
  • Manage ID and access cards for employees e.g. Aviation Security cards, building access cards, and staff car park cards etc.
  • Manage and monitor AAOC gate calls (manage remotely from desktop).
  • Attend regular Administration Network meetings and where possible, provide assistance to the administration network when required e.g. to provide leave cover.
  • Health and Safety coordinator and Fire Warden for Auckland office as required.
  • Interact regularly and positively with Airways people, and vendors, suppliers, agencies to professionally field queries and questions.

About you:

To be successful in the role, you will have:

  • Strong office admin, receptionist or customer service experience in an office environment.
  • Excellent customer service experience in meeting and greeting visitors, guests, suppliers, etc.
  • Advanced skills in Microsoft Office (Word, PowerPoint, Excel, Outlook).
  • High level of office admin professional, flexible, organised, proactive and positive approach to juggling multiple tasks, competing priorities and the internal customers to which they are assigned.
  • Strong planning and coordinating experience, and resolving issues and problems by utilizing own judgement and initiative.
  • Ability to work in a dynamic team and business environment, support and collaborate with people internally and externally, show resilience and agility, take ownership and focus on delivering successful business outcomes and most of all be a great team player.
