As the Admin Coordinator, you will be the first point of contact for the Foreign Military Sales (FMS) and Controlled Technology programme office as part of Defence Logistics Command with the New Zealand Defence Force (NZDF).

You will be accountable for the day-to-day administration support to the programme and coordinating with NZDF personnel and our overseas partners to ensure requirements are met.


Your key responsibilities include:

  • Providing process advice internally and externally in regards to the Foreign Military Sales programme;
  • Ensuring Defence is compliant with managing controlled technology by providing advice around procedures, policies and legislative requirements;
  • Monitoring and maintaining the administration of registers for managing NZDF's obligations for FMS and controlled technology;
  • Assisting with month end payments reconciliations and investigating billing anomalies;
  • Providing backup support for the FMS Training Manager and other team functions as required to ensure continuity of work; and
  • Identifying opportunities for process improvements, including creating and updating SOP documentation.

The formal title for this role within NZDF is Foreign Military Sales and Controlled Technology Administration Coordinator.

You will also have:

  • Previous experience working within Foreign Military Sales or a commercial sales administration role;
  • Excellent communication skills, both verbal and written;
  • Proven selfmanagement skills, with the ability to work autonomously and as part of a team;
  • An understanding of military terminology (beneficial); and
  • A working knowledge of SAP is desired, but not required.

Please note:

This role requires the ability to travel domestically and internationally, as well as hold a current, full NZ drivers' licence.

Defence Logistics Command (DLC) supports the NZDF by providing logistics (maintenance, repair and overhaul (MRO)), most supply chain and warehousing operations (SCWO), commercial services and shared services to the single Services and HQ Joint Forces NZ.

The DLC support role is summarised by "feed, fuel, fix, arm, move, procure, and pay".

DLC provides logistics policy and advice internally to the NZDF and externally to NZDF's stakeholders on a Whole of Government (WoG) basis.

DLC is responsible for multi-national logistics policy and implementation through a series of bi-lateral and multilateral agreements and forums.

- is a citizen of, and/or has resided continuously in one or more of the following countries for the last five years: either Australia, Canada, NZ, the United Kingdom (UK) or the United States of America (USA); and has a background history that is verifiable and can be assessed as appropriate by the NZ Security Intelligence Service (NZSIS) towards a recommendation of suitability for a security clearance at this level.
