As an Executive Assistant, you'll play a pivotal role in ensuring everything runs seamlessly behind the scenes—because when the details are perfect, big things happen.

  • Deliver high-level executive support to the Mayor and Mayoral Office.
  • Manage complex calendars, travel arrangements, and meeting logistics.
  • Optimise administrative systems and processes for maximum efficiency.

Qualifications

  • Extensive experience: Minimum 5–7 years as an Executive Assistant at C-suite or executive management level, ideally within central or local government.
  • Exceptional organisational ability: Proactive thinker with strong problem-solving skills, capable of prioritising a varied and demanding workload with minimal supervision.
  • Calm under pressure: Skilled at triaging and managing conflicting priorities while maintaining professionalism and composure.
  • Advanced administrative expertise: In-depth knowledge of office management procedures, systems, and equipment.
  • Technical proficiency: Highly skilled in Microsoft Office Suite (Word, Excel, PowerPoint) at intermediate to advanced level.
  • Outstanding communication: Professional verbal, written, and interpersonal communication skills across all channels.
  • Tech-savvy: Comfortable with meeting tools, virtual platforms, and troubleshooting basic technology issues.
  • Discretion and confidentiality: Proven ability to handle sensitive information with the highest level of integrity.
  • Emotional intelligence: Strong self-awareness, interpersonal skills, and ability to build trusted relationships.
  • Change and improvement mindset: Demonstrated experience in implementing process improvements, particularly through technology.
  • Leadership capability: Ability to model and articulate organisational vision and values.
  • Cultural awareness: Working knowledge of Te Tiriti o Waitangi principles and a basic understanding of Te Reo Māori.
