We are looking for a proactive and forward-thinking Executive Assistant to support the Director and leadership team within our Resource Use Directorate. This role requires initiative, sound judgment, and the ability to anticipate needs, identify improvements, and take ownership of tasks that keep the Directorate running smoothly.
You must be able to work in an environment where constant interruptions are the norm. Your high-level communication skills combined with your self-motivation, attention to detail and 'can do' attitude will ensure your success in this role. You will enjoy working alongside the Executive, Resource Use Senior Leadership team and business support team, and have absolute professionalism in everything you do.
Mō te tūranga | About the role
This is a 13-month fixed term, full-time position (40 hours per week), ending in February 2027. For the right candidate, we can offer additional flexibility with the option of a 9-day fortnight (82 hours, pro-rated).
- Provide high-level executive support, including confidential and sensitive matters
- Manage correspondence for the Director, both internal and external
- Prepare agendas and minutes for committees and leadership meetings
- Organise and attend meetings, workshops, conferences, and planning days
- Assist the wider Directorate and leadership team as required

- Strong organisational skills with the ability to manage competing priorities
- Demonstrated initiative and problem-solving ability
- Advanced Microsoft Office skills and experience in diary/inbox management
- Excellent verbal and written communication skills
- Previous experience preparing committee or board documentation and taking minutes
- High attention to detail and accuracy
- Ability to stay calm in a dynamic and changing environment, which can at times be high pressure
Mō ngā pūkenga | Qualifications and experience
- Relevant qualification, or at least 3–5 years' experience in a senior EA or PA role
- Ability to work to deadlines and under pressure
- Professional, discreet, and methodical with sound judgment
- Experienced in the management of information and maintaining information systems
