Office Administrator

You will manage invoicing and payroll, coordinate onboarding, and keep our office in great shape. Part time, around 20 hours per week, based in Palmerston North.

Your Responsibilities- Prepare and issue client invoices, reconcile accounts, and follow up on overdue payments
- Process vendor invoices and manage payroll in Xero and Employment Hero
- Maintain accurate financial and HR records, ensuring confidentiality at all times
- Coordinate onboarding and general orientation for new staff
- Manage office supplies, vendors, and facilities to keep everything running smoothly
- Support the wider team with administration, reporting, and process improvements
- Review and refine office, HR, and finance processes to improve efficiency
- Experience in office administration with solid financial responsibilities
- Proficiency in Xero (essential) and familiarity with Employment Hero (preferred)
- Excellent organisation and attention to detail
- Strong communication skills and a friendly, professional approach
- Ability to work independently, prioritise tasks, and meet deadlines
- A practical, solutions-focused mindset with a positive attitude
- HR experience would be an advantage
- Reliable, approachable, and calm under pressure
- High level of integrity and respect for confidentiality
- Proactive about improving processes and finding better ways to work
- Supportive team player who contributes to a positive culture
- Comfortable working across both people and finance functions
