**Team and Office Coordinator - Christchurch**

**About you**:
You’ll have a strong attention to detail and will be very organised with strong time management and excellent communication skills. You’ll present well and be able to deal directly with senior level clients and external stakeholders, and you’ll be willing and able to see the job through, including taking the occasional out of hours phone call if there are travel emergencies. There are a huge range of personalities in the team, including quirky software developers, so it’s important that you’re able to get along with a wide range of people.

**Requirements**:
The Team and Office Coordinator will support and report into our Financial Accountant based in Christchurch.

**Office Coordinator - 40%**:

- Developing all necessary processes/procedures relating to office upkeep, includes assisting with the development of an Office Manual with all important processes and contacts.
- Responsible for the upkeep, presentation of office and supplies within office. This includes general upkeep and looking for opportunities to improve the office, along with daily office set up.
- Assisting with the move and set-up of our new Christchurch office space (The Yard).
- Ordering new business cards and liaising with external printers and suppliers for signage, printed stationery, and event displays.
- IT Liaison includes liaising with external IT support and building management to ensure internet and office network are up and running successfully.
- Office upkeep in Christchurch: cleaners management, landlord liaison, furniture/fittings, keeping office tidy, liaising with photocopier company and other suppliers.
- Ensure Worksafe requirements are met and enough First Aid officers are assigned.
- Be the out of hours point of contact - mínimal expectations

**Team Assistant - 40%**:

- Team Onboarding - related to IT Liaison, assisting our People & Sales Ops Business Partner (based in Sydney) with the onboarding of new team members, setting up their laptops, maintaining NZ asset register, organising to courier laptops to team members or back to Sydney office.
- HR Policies and Procedures - being familiar with regional HR Policies & Procedures so you can answer team questions as required.
- NZ Travel Bookings - liaise with our People & Sales Ops Business Partner for flights and accommodation for the team. Preparing team travel schedules and submitting them to the Leadership Team for approval.
- Team Diary management.

Event bookings and coordination:

- Monday, Wednesday and Friday lunches - organising catering for in office lunches, includes setting up for lunch, making sure everyone is looked after and tidy up after lunch.
- Company dinners - selecting and booking venues and confirming team attendance.
- Venue bookings for company events, including Christmas parties.
- One-off events - organising venues, tracking attendance and invites, setting up venue and coordinating AV and other third-party services required including signage.
- Anniversaries and Birthdays - support the development of the anniversaries program and be the ongoing caretaker for this program in NZ. Also manage how we celebrate other special occasions such as birthdays.
- Vibe. We are unashamedly big on vibe, so it’s up to you to ensure there’s a consistently good vibe across our NZ and global team.

**Finance Assistant - 20%**:

- Reconcile all company credit cards and staff reimbursements for the Group
- Assist with debtor management
- Assist with creditor management
- Assist with managing the Accounts inbox
- Assist with maintaining our time sheeting system (Harvest)
- Support the Financial Accountant with administrative tasks as requested
