About the role
We are currently seeking a highly skilled and motivated individual to join our team as an Executive Assistant to provide support to the Managing Director. The fast-paced nature of the workplace demands strong organizational skills and the ability to prioritize effectively. You will need to handle multiple tasks simultaneously and able to meet deadline. Adaptability is key as you may be required to shift gears swiftly and adjust your focus as priorities change.
Key responsibilities include:
- Provide comprehensive administrative support, including managing calendars, scheduling appointments, and coordinating meetings and travel arrangements.
- Prepare and organize documents, reports, and presentations for executive meetings and board presentations.
- Conduct research, gather data, and provide insightful analysis to assist in decision-making processes.
- Act as a liaison between the executive team and internal/external stakeholders, demonstrating exceptional professionalism, discretion, and tact in all interactions.
- Assist in the planning and execution of corporate events, conferences, and other special projects as required.
- Manage confidential and sensitive information with the utmost discretion and maintain a high level of confidentiality at all times.
- Proactively identify opportunities to streamline processes and enhance efficiency in day-to-day operations.
- Handle ad-hoc administrative tasks as assigned and support the admin team in office management, demonstrating flexibility and adaptability in a fast-paced environment.
About you
- Proven experience as an Executive Assistant or similar role.
- Exceptional organizational skills with a keen eye for detail and the ability to multitask effectively.
- Excellent verbal and written communication skills, with the ability to interact confidently and professionally with individuals at all levels.
- Proficient in using productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Strong problem-solving skills and the ability to anticipate needs and provide proactive solutions.
- Demonstrated ability to work independently, prioritize tasks, and meet deadlines in a dynamic work environment.
- High level of integrity and the ability to handle confidential information with the utmost discretion.
- Previous experience in the property industry is a plus.
