We’re looking for an Administration Assistant to join our Brand & CountdownX team here in Aotearoa.

Joining our team at the CountdownX office you’ll take accountability for the day to day management and maintenance of the office. You’ll be the first point of contact for administrative support and take ownership for ensuring a great environment for our team responsible for Countdown’s digital agenda.

**About the Role | Mō te Tūranga
Your responsibilities will include but are not limited to:

- Management of the front of house / reception area for CountdownX office space ensuring the space is clear and secure at all times and packages etc are cleared as soon as possible (including internal mail tray).
- Proactively dealing with external visitors to create a great experience
- Management of all access cards for CDX team and visitors, including ordering and regular audit of cards on hand.
- Create a welcoming first contact for all CountdownX visitors and colleagues on arrival to our busy office
- General cleanliness of office/facilities (including daily checks/required maintenance of things like kitchens, meeting rooms, storage areas)
- Day to day management of staff car park
- Day to day management of CDX meeting rooms (including tech)
- Liaising with relevant contractor relationships (cleaners, tradies, parking etc)
- Ordering of all supplies required for the office
- Be an active part of the H&S team
- Dealing with correspondence, complaints and queries
- General administration duties such as assisting with organisation of meetings, coordination of communications, user access etc
- Educate the team on Office Etiquette: use of space
- Assist the Office Manager on ensuring all relevant health & safety requirements are met
- Awareness & reporting of Incidents in the Woolworth Groups Pulse System
- Assist the Office Manager/s with event management
- Actively look to improve processes in the office to benefit the efficiency of the team

To succeed in this role you will need to be self motivated, have great time management skills and the ability to prioritise and manage multiple tasks.

To be successful in this position, you will ideally:

- Have experience in a customer service environment eg. Receptionist, concierge
- Have demonstrated ability to interact with and manage good working relations at all levels
- Strong written and verbal communication skills
- Be reliable, flexible and have the willingness to take on a wide range of tasks
