The Role

We are seeking a highly organized and skilled Personal Assistant to join our Executive Team. As a key member of our support team, you will play a vital role in ensuring our executives can perform at their best.

Your primary responsibilities will include:

  • Diary Management: Coordinate schedules to maximize efficiency, plan meetings, send invitations, and support with presentations and meeting notes.
  • Inbox Management: Monitor and manage inboxes, ensuring timely responses and effective communication.
  • Travel Coordination: Book flights, accommodation, visas, and transport for Executive Team members and, when required, other employees.
  • Event Support: Assist with the planning and delivery of internal events that help engage and connect our crew.
  • General Administration: Handle special assignments, support projects, and step in to assist other executives when needed.
Requirements

To be successful in this role, you will need:

  • Proven admin experience – At least two years in an administrative or a coordination role (e.g., reception, team coordinator, event coordinator).
  • Strong organisational skills – Experience managing diaries, inboxes, and competing priorities in a fast-paced environment.
  • Tech-savvy – Proficiency in Microsoft Office (Word, PowerPoint, Teams) and beginner-level Excel.
  • Excellent communication – Confident in written and verbal communication, with the ability to engage at all levels.
  • Proactive and adaptable – A problem-solver who takes initiative, maintains confidentiality, and stays calm under pressure.
