Job Summary

We are seeking an experienced Office Manager/Assistant to join our team. This role will be responsible for managing the office, supporting the General Manager, and performing executive support tasks as needed.

Responsibilities

Some of the key responsibilities of this role include:

  1. Supporting the General Manager:
  2. Providing administrative assistance to the General Manager.
  3. Processing assigned tasks efficiently (i.e., meeting schedules, minute taking, email and calendar management, travel bookings, coding and approvals, contract preparation).
  4. Managing related budgets and associated finance administration, including creation of purchase orders and processing and coding of invoices related to office costs.
  5. Assisting with expenses.
  6. Organising LT events (breakaways, offsite meetings, team building).
  7. Performing any other tasks or duties added due to business requirements and where capacity allows.
Additional Responsibilities
  1. Assisting with team breakaways when needed.
  2. Providing assistance with travel, administrative, and ad hoc tasks.
  3. Managing office calendar.
  4. Leading, planning, and executing initiatives for regular whole business meetings and celebrations.
  5. Ensuring key monthly and yearly business planning deadlines are met and scheduled meetings are diarised.
  6. HR – recruitment, payroll.
Requirements
  • Previous experience in providing administration support and general office management.
  • Skilled in minute taking.
  • Event management experience.
  • Budget management experience would be beneficial.
  • Makes things happen, through attention to detail, ability to multi-task and working well under pressure.
  • Highly professional, including excellent judgment and high discretion.
  • Confidence in dealing with a diverse range of people.
  • Pragmatic, helpful and solution-focused.
  • Computer literacy in all Microsoft Office software applications.
  • Attributes displayed would include: creativity, professionalism, proactivity, high energy, bright, socially savvy, passionate, focused, responsible, and committed to excellence.
