Academic Program Coordinator

**Job Description**
The Academic Program Coordinator at Essec Business School plays a vital role in the successful delivery of academic programs. Reporting to the Senior Manager, Academic Affairs, this position collaborates closely with various stakeholders to create positive experiences for all parties involved.
**Responsibilities:**
- Program Management:
- Responsible for program delivery on the APAC campus, including academic year preparation, class scheduling, examination, and other related activities.
- Collaborate with Academic Directors to ensure successful program preparation and delivery.
- Course Scheduling:
- Prepare and validate program schedules for approval.
- Follow through in the class scheduling system used by ESSEC, ensuring seamless entry, classroom booking, maintenance, and communication of changes.
- Students-Related:
- Supervise program-related tasks, including student induction, attendance monitoring, examination coordination, grades data-entry, and relaying general student announcements.
- Analyze students' feedback and propose action plans accordingly.
- Maintain accurate records of student information.
- Provide basic support for students' mental and physical well-being.
- Coordination:
- Coordinate with counterparts in other ESSEC campuses to align program rules.
- Be responsible for the smooth coordination and execution of curriculum-related events, ensuring seamless logistical and administrative arrangements.
- Source vendors and confirm bookings as required, respecting finance processes.
- Assist in travel claims/reimbursement/payment.
- Manage program expenses and maintain shared master databases.
- Raise program-related purchase requests on the procurement system.
- Other Program-Related Support:
- Set up/coordinate teleconferences/virtual meetings with counterparts in Singapore or other global campuses, collaborating with the International IT Department.
- Take minutes, file documents, and maintain stationery for general housekeeping purposes.
- Prepare/updating deck presentations.
- Supervise team members where relevant.
**Requirements and Qualifications:**
- Familiarity with student affairs and higher education program management.
- Meticulous, organized, and proficient in time management skills to adapt to fast-paced environments.
- A mature candidate with good teamwork and collaboration skills, able to work independently and collectively.
- Proficient in MS Office applications.
- Experience in coordinating study trips, workshops, events, and seminars is an asset.
- Knowledge of Google Tools and Moodle/Celcat will be beneficial.
- Ability to make preliminary decisions and negotiate simple payment contracts.
- Possession of Diploma/Degree qualification.
- At least 3 years' experience in Program Administration and Coordination Role in the Higher Education Industry.
