**About the role**:
Reporting to the Service Delivery Portfolio Manager this busy role supports the People-Powered Streets Programme Team and the respective Project Managers in the Nga Tiriti Ngangahau - The Vibrant Streets And Streets for People Programmes by ensuring capacity and efficiency of the individual projects are maximised to achieve the overarching PPS objectives, by accurately and reliably providing support and management of project team processes, including compliance, project and procurement management, data management and document management requirements.
**Key Responsibilities**:
**General administration**
The role provides a range of administrative services that support and promote the team and business. This is achieved by taking ownership of key administrative activities including:
- Management of with electronic filing systems, particularly those related to the MS Team sites/SharePoint
- Creation of POs in SAP and assisting in investigating and resolving queries/issues relating to procurement documentation
- All administrative documents/records are up to date and accurate
**Project co-ordination and support**
This role leads the co-ordination and support services for two programmes, these activities include:
- Maintain and update a central database through various spreadsheets as needed to track relevant information across the programmes
- Produce and issue various documents, reports and presentations
- Manage, monitor or assist with the monthly reporting and updating of project risk registers, issues logs, project schedules, actions registers
- Support for project procurement requirements and contract management
- Provide support with the preparation presentations to the Programme Control Group, Programme Management Forum, Committees, Steering Groups, Local Boards and other forums
- Project meetings are co-ordinated to agreed schedule and accurate records of meetings are produced in a timely manner
- Ensure project documentation for authorisation is processed efficiently
- Act as central co-ordination point of contact for the Project teams
- Track project enquiries, requests for information and monitor responses from appropriate team members
- Preferably proven project/co-ordination management experience, professional services administration or similar environment or 2 years in a project/programme management office environment
- Proven ability to work with multiple teams and stakeholders across the business to create win-win outcomes
- Demonstrable experience in use of Microsoft Office Applications (Excel, Word, Visio, PowerPoint, Outlook)
- Experience with using databases and information management systems e.g., SharePoint
- Experience with using SAP
- High level of organisation skills - plans and prioritises well and manages time to focus self and others on the most important activities.
- Can adapt to shifting priorities, demands and timelines through analytical problem-solving capabilities
- Excellent written and oral communication skills
- Excellent interpersonal and relationship skills
