We have offices in Wellington and Auckland, with a centralised business support team of around 17 across both offices. Reporting to the Administration Manager (who is Auckland based), you will be a vital member of the team.
He angitūtanga - The opportunity
This is a multifaceted role based on the front desk of our Wellington office, where you'll not only be the welcoming face of the FMA, you'll also provide important team administration support and facilities coordination on the ground. Some of the main responsibilities include:
**Reception**:

- Manage incoming and outgoing mail, packages, and deliveries
- Assist with event coordination (catering and meeting room reservations)
- Order office supplies, maintain a tidy stationary cupboard, reception area and kitchen

**Facilities**:

- Coordinate with vendors and service providers for facility maintenance and repairs
- Oversee routine maintenance, repairs, cleaning and improvements of the facilities, including HVAC, electrical, lighting and plumbing systems
- Liaise with the Facilities Coordinator based in Auckland around other related matters such as seating plans

**Team Support Administration (TSA)**:

- Assist team members in scheduling meetings, conference calls, and travel arrangements for team members
- Support a portfolio and other TSAs with administrative tasks, such as data entry, formatting, document preparation

This is a full-time role (40 hours per week) with our core office hours of operation 8:30 - 5pm Monday to Friday. Due to the nature of this role, it is fully office-based, but we can offer some flexibility with start time (between 7:30 - 8:30am).
He kōrero mōu - About you
Ideally you will bring previous reception/administration experience gained from within an office environment - any facilities experience would be a bonus. From a technical perspective, you'll need to demonstrate intermediate skills across the Microsoft Office suite as well as strong organisation skills and attention to detail.
Just as important will be your attitude - we are looking for someone who is flexible, a team player, can problem solve, is proactive and displays a high level of professionalism.
