The core responsibility of the Administration Assistant is to greet all the visitors and handle the calls in a professional and timely manner, using discretion, and maintaining privacy of company and individual’s information ensuring all the financial and administration tasks are completed to a high level of quality and attention to detail.

**Tasks include, but are not limited to**:

- Professionally attend to all visitors and incoming phone calls
- Provide effective and efficient administration of accounts payable and general administration
- Back-up support to assist Finance Team when required
- Work collaboratively with the team to provide support to the wider business as well as a professional contact point for visitors, customers, and inbound callers
- Remain compliant with company policies, relevant legislation and accounting standards at all times
- Provide administrative support to the Finance Team and provision of office stationery and consumables
- Maintain housekeeping of reception and lunchroom
- Process and perform all associated accounts payable tasks including reconciliation of all accounts monthly
- Receipt purchase orders
- Maintain Vendor Registration Forms and Supplier Credit Applications
- Prepare the weekly leave reports spreadsheet
- Provide adequate back-up to other Finance Team tasks where required. Works as a part of the Finance Team to meet KPIs and goals

**Requirements**:

- Sound Accounts Payable and general administration experience
- Practical experience using accounting software and MS Excel, as well as the ability to learn new software packages quickly and autonomously
- Proven ability to use initiative and common sense
- Able to work well under pressure and meet all deadlines while maintaining a stable performance
- Great communication skills
- A ‘can do’, attitude with a proactive approach
- Enthusiastic and adaptive with the ability to ‘help out’ if required
