Administrative support for a family office
- Auckland CBD location
- $60,000-65,000 per annum

**About the Role**:
As a Family Office Administrator, you will play a vital role in keeping the office running smoothly and ensuring a positive experience for all visitors and staff. You will support the wider team to streamline the administrative functions across this space. Here's a little more about what you can expect from this role:
**General Office Administrative Support**:

- Welcome visitors to the Family Office in a polite and professional manner
- Greet and assist Family members, Trustees and Directors during their visits
- Set up and ensure the smooth operation of technology for meetings
- Arrange refreshments for meetings and maintain high standards of cleanliness in meeting rooms
- Accurately enter bills into Xero or cash books on a monthly basis, ensuring the precision of information.
- Manage incoming and outgoing mail and couriers
- Manage stationary and amenity supplies, maintaining a tidy kitchen and storage area
- Assist the team with general administrative duties such as printing, filing and archiving
- Assist with selected strategic and operational projects if required. Projects will vary significantly in size and scope.

**Asset Administrative Support**:

- Provide administrative and secretarial support to the GM’s to manage key assets
- Manage and update asset inventory lists
- Coordinate asset work lists and obtain quotes for necessary repairs.
- Manage the sales of used equipment and assets
- Assist with coordinating asset warranty claims
- Check, code and enter expense claims and bills into Xero
- Visit operational sites involving occasional travel around Auckland
- Manage the minute-taking and reporting of health and safety at selected sites to ensure compliance and continuous improvement.

- Understanding of family and related party sensitivities - discretion is paramount
- Able to communicate with stakeholders at all levels
- Inquisitive, positive and display initiative.
- Good written and oral communication, and numeracy skills
- A commitment to teamwork and cooperative work practices
- Ability to multitask, be well-organized and flexible
- Computer literate in Outlook, Word, Excel, and PowerPoint.
