**Assignment Overview**:
**Key Job Functions**:

- Streamline Project Operations: Set up files and systems, allocate job numbers, and organise project materials for smooth workflow and communication.
- Drive Monthly Billing: Prepare accurate payment claims, process invoices, and maintain meticulous records for timely billing.
- Oversee Project Workflows: Effectively manage staff schedules and resources, while collecting and processing day dockets for billing.
- Champion Health and Safety Compliance: Record incidents, conduct site audits, and facilitate monthly H&S meetings to ensure compliance.
- Enhance Quality Assurance Documentation: Manage photo database, coordinate documentation, collate product data sheets and pull test data.
- Optimise Fleet and Resource Management: Oversee fleet tasks, maximize resource utilisation, and maintain records for smooth operations.
- Administer Digital Workspace Systems: Manage Google Workspace, shared drives, and ensure data security and accessibility.
- Ensure Regulatory Compliance: Complete Site Wise registration and certification, monitor ad-hoc tasks, and maintain training records.

**Desired Competencies**:

- Strong organisational skills with the ability to manage multiple projects and prioritise tasks effectively.
- Experience in a project administration sole charge role within the construction/contracting industry would be a bonus
- Excellent communication skills to liaise with internal teams, subcontractors, and clients.
- Trustworthy and reliable, with high attention to detail and the ability to solve problems.
- Proficient in time management to meet deadlines and deliver high-quality work.
- Familiarity with systems such as One Drive, Xero, Google Shared Drive, and Apple Mac.
- Honesty and integrity in handling confidential information.
- Full-time availability with an early start and finish.
