The New Zealand Symphony Orchestra (NZSO) is one of this country’s most loved brands and is a true badge of our national identity. The role of Executive Assistant to the Chief Executive lies at the heart of our world-class national orchestra and plays a crucial role in ensuring that the NZSO continues to be the orchestra for all New Zealanders.

The Executive Assistant is responsible for providing support and professional administrative services to the Chief Executive, as well as secretarial services for the Executive Leadership Team, the NZSO Audit Committee, and the NZSO Board. The role requires someone who has excellent self-management skills and who is efficient, professional, and positive. To ensure day-to-day operations are effectively coordinated, you will have well-honed organisational, administrative and communication skills.

Key responsibilities include:

- Inbox and diary management, ensuring the CE is well informed and prepared for upcoming commitments and responsibilities
- Meeting coordination and administration (including scheduling, agendas, minute-taking and distribution of information and actions)
- Responding to incoming correspondence and queries
- Contributing to reports and requests for information
- Assisting to prepare key documents and proposals
- Building positive relationships with key stakeholders - internal and external
- Assisting with event planning and hosting

NZSO is a dynamic fast-paced environment, so you will need to thrive under pressure, work proactively, and demonstrate a confident, solutions-focused approach. You will have a genuine desire to support a busy and productive CE. As you will be providing a high level of customer service and communication, you need to be someone who can readily build strong relationships with the CE, Board, Audit Committee, internal staff, and the wider arts community.

Ideally you will bring:

- Previous EA experience supporting a Chief Executive
- Well-honed organisational and administrative skills
- Exceptional communication skills - verbal, written and interpersonal
- A high level of initiative and an eagle eye for detail
- A calm, resilient, mature, and honest nature
- Exposure to and a genuine passion for the arts sector
- Advanced Microsoft Office skills and good computer skills in general
- The highest levels of discretion and confidentiality
- The ability to cope with competing and changing priorities
