Portfolio Coordinator, Climate Change Adaptation & Mitigation Portfolio
We are looking for an enthusiastic multitasker who is skilled in providing efficient and effective project administration and business process support.
About the opportunity
The purpose of this role is to drive effective business process systems to support project delivery and ensure the portfolio delivers quality outputs for clients and end-users and contributes to Manaaki Whenua's ability to meet its key performance indicators.
In this role you would implement and promote efficient and effective best practice for managing the portfolio's research projects by working with the Portfolio Leader, Research Priority Area Leaders, Project Leaders, Legal Services, Finance teams, and Strategy Support team to provide:
- expert knowledge of Manaaki Whenua's standard business processes
- contract development, review, and administration
- customer, stakeholder, collaborator, and end-user relationship management through oversight of processes to ensure quality and timeliness of communication in relation to contract delivery
- risk mitigation, through monitoring portfolio projects and early reporting on potential risks of late delivery to the Portfolio Leader
- support for project leaders in using sound project delivery practices, as per Manaaki Whenua's agreed standards
- coordination of bid development, portfolio reporting, and business record management, as part of wider Research Office initiatives
- a check of portfolio plans and reviews, and research bid documents to ensure they meet key criteria.
The Portfolio Coordinator's contribution is pivotal in enabling the Portfolio Leader to focus on science leadership and strategy, while executing accountability for the management and delivery of the portfolio's research outputs.
This position is a one-year Fixed term, part time (30 hours per week), reports to the Business Support Team Leader, and can be based at either our Hamilton or Lincoln sites.
About you
You will have a recognised tertiary qualification and experience in administration (within a science research environment preferred), or significant experience in business administration or project delivery coordination.

- excellent organisational skills with a proven ability in forward planning, priority setting, problem solving, and meeting deadlines under pressure
- excellent written and verbal communication skills.
