About the role

Our Event Medical Services team are at the heart of our community work.

They cover a variety of both international and domestic sporting events, community fairs and functions, live concerts, and a whole lot more every single week throughout the Wellington and Wairarapa regions.

The Event Medical Services team also support our front-line crews in emergencies.


We are currently looking for full time Coordinator to support this team - there is a lot to be done to successfully coordinate the logistics behind these events and ensuring we have the right person in the right place, at the right time to meet our customers and patient needs.


The Event Medical Services Coordinator will be responsible for providing a wide variety of coordination activities from diary management to events resourcing, preparing run-sheets and orders, logistics for vehicles and equipment needed to successfully support events around the region and ensure our medical personnel are on site and ready for action.


Other responsibilities include:

Providing administrative support to the Event Medical Services Manager and team including diary management
Coordinate activities of our Event Medics across WFA and external events
Support logistics and planning activities, including meeting rooms, vehicles and equipment and costings
Manage documentation, filing and recording of meeting minutes for the team
Ensure events information is kept up to date and maintained accurately
Supporting recruitment drives for our volunteer events
Provide excellent customer service liaising with our customers and internal teams such as Clinical Education to support recruitment and induction of our volunteer event medic intakes

Skills and Experiences:


You will enjoy working in a support role, have a can-do approach and able to engage effectively at all levels.

You will need to ensure you are someone who can remain calm under pressure and juggle deadlines.

You will need:
Previous experience in an administrative role (healthcare environment would be desirable)
Sound problem solving skills using critical thinking.
Proven organisational and time management skills
An excellent phone manner and the ability to work with and relate to people from diverse backgrounds and cultures
Superior customer service skills
Competent in MS Office Suite (Word, Excel and Powerpoint)
Current full clean drivers' licence (for over 2 years)
