Harbour Cancer & Wellness require a dynamic Reception Administration Support Team Leader to join their team.

This Hybrid frontline / leadership role ensures the seamless administration of the centre, providing the very best service to patients and their families and excellent support to the team delivering patient healthcare.

This is a full-time 40 hr per week, Monday to Friday role. The position is based across both Wairau Road and Newmarket sites depending on day-to-day needs.

Our ideal candidate will have or be:

  • Leadership and supervision skills
  • Advanced administration skills and knowledge of Microsoft Office Suite and Adobe
  • Experience in a medical care setting
  • Ability to work well with others and lead change management
  • Ability to think laterally and enjoy the challenge of think outside the square
  • Have strong attention to detail and be thorough
  • Strong verbal and written communication skills
  • Warm and friendly manner
  • An authentic and engaging person
  • The ability to work under pressure and to timelines
  • An eagerness to help out where necessary
Duties include but are not limited to:
  • Direct line management of the administration and scheduling teams.
  • Coordination and leadership of day-to-day business functions, which support the smooth delivery of operational, customer service, and clinical care at Harbour Cancer & Wellness.
  • Documenting administration process and functions
  • Providing team training and support
  • Resource allocation and staffing logistics
  • Quality project administration and support
  • Administration team meeting management
Active front of house duties include:
  • Providing a personalised welcome to patients and their families/whanau and to all visitors
  • Support seamless communication from patients throughout the practice, accurate recording of patient movements and queries, clinic lists, messages via MS Teams and other channels
  • Support clear and accurate communication flows within the team
  • Professionally engages with other health professionals and health practices
  • Process patient referrals, correspondence and results and scan/upload to the patient management system
  • Take payments from patients and forward queries to the accounts team
  • Provide support to our doctors, including timely forwarding of patient information and communicating their requests to the appropriate Harbour team members
  • Typing, proofing, scanning, filing and managing stationery orders
  • Participate as a positive team member in the life of the team
Full training in Harbour Cancer Centre systems and processes given. This role reports directly into the Chief Operations Officer.
