Office Administrator

The Office Administrator role is responsible for administrating the day-to-day accounts payable functions of Kogge Ventures Ltd and its associated companies. This dynamic role requires excellent attention to detail and strong organizational skills. This is a dynamic, hands-on role where you'll take ownership of the end-to-end Accounts Payable process while supporting the finance team with a range of administrative and financial tasks. Working across multiple business units, you'll play a key role in keeping our financial operations running smoothly.
The primary focus of this role is to ensure that the company's day-to-day accounts payable tasks are conducted in an effective and cost-efficient manner. This position reports directly to the Kogge Ventures Ltd directors and to the Head of Finance and Compliance at Systemethix Ltd.
Key Responsibilities:
Accounts Payable Support:
- Oversee end-to-end accounts payable processes including invoice processing, reconciliations, vendor management, and payment runs.
- Ensure compliance with New Zealand tax regulations (e.g., GST), company policies, and internal controls.
- Administration of company expense & credit card processes
- Maintain accurate and up-to-date financial reports.
- Assist with month-end/year-end closing procedures related to accounts payable.
- Assist with the implementation and maintenance of accounts payable procedures and systems.
- Perform other accounts payable duties as assigned.
Administrative Support:
- Assists with general administrative tasks
- Assist processing customer invoices and managing bills
- Assist with the coordination and maintenance of administrative procedures and systems
- Support in generate and maintain policies & guidelines follow ISO9001 and ISO27001
- Assisting with enforcement of organisation's policies, procedures and practices
- Assisting with tracking ISO quality KPIs
- Perform other administrative duties as assigned.
Senior Leadership Team Assistance:
- Assist with special projects and initiatives as directed by senior leadership.
- Conduct research and compile information for reports and presentations.
- Prepare agendas and take minutes for senior team meetings.
- Maintain confidentiality of sensitive information.
- Support senior team members with personal administrative tasks as needed.
Qualifications and Skills:
- 2+ years of proven experience in administration roles (emphasis in accounts payable).
- Good understanding of New Zealand tax and financial regulations
- Excellent organizational and time management skills with a strong ability to prioritize tasks and meet deadlines.
- Proficiency in Google Workspace or other office collaboration tools
- Experience with accounting software (preferably Xero or similar) is a plus.
- Strong written and verbal communication skills with a professional and courteous demeanor.
- Exceptional attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Strong problem-solving skills and a proactive approach.
- Ability to maintain confidentiality and exercise discretion.
