About the Role

We are seeking a highly organised and proactive professional to join our team in a multifaceted role. This position combines Executive Assistance, office management, and legal executive/contracts responsibilities, offering variety and scope for someone who thrives in a dynamic environment. You will report directly to the Chief Operating Officer (COO) and work closely with colleagues and clients internationally.

Key Responsibilities

Executive Assistant Duties

  • Provide high-level administrative support to senior leadership.
  • Manage calendars, schedule meetings, and organise travel arrangements.
  • Prepare reports, presentations, and correspondence.
  • Handle confidential information with discretion.
  • Other administrative tasks as required.

Contracts Advisor Duties

  • Review legal documents and contracts, identifying areas for further review, negotiation or legal advice.
  • Assist with compliance and regulatory requirements across multiple jurisdictions.
  • Liaise with clients, legal counsel, and external stakeholders.
  • Maintain accurate legal records and case files.

Office Management

  • Oversee day-to-day office operations for the Dunedin office, ensuring a smooth and efficient workflow.
  • Manage office supplies, equipment, and vendor relationships.
  • Coordinate internal communications and maintain organisational systems.
  • Assist with operational needs for our Canadian and Australian offices.

Skills & Qualifications

To thrive in this role at AbacusBio, you will be a team player, detail-orientated and comfortable working across different time zones and cultures. You'll also have:

  • Proven experience in executive support and office administration.
  • A Legal Executive qualification or relevant experience reviewing contracts and legal documents in a commercial environment.
  • Strong organisational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Strong analytical skills with high attention to detail, with an eye for identifying risks and errors, and points for further review.
  • Proficiency in Microsoft Office Suite and document management systems.
  • The ability to work independently and as part of a global team.
