The Role

At EcoCentral, this position provides trusted executive and board support to the Chief Executive while supporting members of the executive team with HR administration, ICT support, and office operations that keep the organisation running effectively. You'll manage diaries, coordinate meetings, prepare board papers and presentations, and stay one step ahead of what's needed.

You'll be an experienced, organised professional who enjoys variety, communicates confidently across all levels, and uses sound judgement to know when to take initiative and when to collaborate. Your curiosity and relationship-building skills will help you create order, connection, and efficiency across the business.

Key Responsibilities

As Executive Assistant, you will:

  • Manage the Chief Executive's diary, communications, and board reporting
  • Coordinate meeting agendas, minutes, and logistics across the Executive and Board
  • Maintain governance documentation and control systems in SharePoint
  • Provide HR administration support to the People and Capability Manager
  • Provide ICT administrative support across onboarding and systems
  • Oversee facilities, supplies, and office coordination for seamless day-to-day operations

About You

You'll bring:

  • Proven experience supporting senior executives or boards (5+ years preferred)
  • Strong organisational and communication skills with attention to detail
  • Confidence to anticipate, prioritise, and act autonomously with discretion
  • Proficiency with Microsoft 365 and document management tools (SharePoint essential)
  • Professional maturity and emotional intelligence to balance different leadership styles

EcoCentral provides the backbone for waste diversion in Canterbury, striving to provide solutions that protect the natural environment that we call home. EcoCentral specialises in resource recovery, from rubbish to reusables, the team processes collections from the Canterbury region for households and commercial premises. EcoCentral's mission is to lead and support best practice waste minimisation and provide enduring refuse and recycling services for South Island Councils, businesses, and communities.

The operations carried out by the team work to support EcoCentral's goal, which is to play a leadership role in creating an economically sustainable circular economy for New Zealand. Across Canterbury EcoCentral operates three core facilities: EcoSort, a large semi-automated processing plant for the yellow bin recycling that is collected from around the region; three EcoDrop sites where people can drop off household rubbish, green waste, hazardous rubbish and items for reuse or recycling; and the EcoShop, located on Blenheim Road, where the team sells checked-over reusable goods supplied by the EcoCentral Resource Recovery Centres.
