About the Business

We are a busy and growing dermatology practice based in Central Wellington. As our patient base continues to expand, we are looking for a reliable and motivated receptionist to join our friendly team. This role requires someone who can work 4 or 5 days per week, from 8:00 am to 5:00 pm.

About the Role

You will be responsible for a range of reception and administrative duties, including patient communication, appointment scheduling, invoicing, and reconciliation of certain accounts. Additional administrative tasks may also be assigned as part of your role.

Key Responsibilities

  • Answer and manage telephone calls and patient enquiries
  • Maintain and update the appointment book
  • Action and prioritise doctor requests
  • Handle correspondence, photocopying, scanning and emailing
  • Maintain patient records, registers, and filing systems
  • Process new enrolments and manage patient information
  • Receive and process payments, reconcile accounts, and maintain petty cash
  • Ensure the security and accuracy of all financial transactions
  • Inform patients of practice services and policies
  • Check and manage answerphone and phone diversion messages
  • Perform general clerical and administrative duties as required

Skills and Experience

  • Strong communication and interpersonal skills with a friendly, professional manner
  • Excellent multitasking and organisational abilities
  • Proficient computer skills; experience with Xero is an advantage (training provided)
  • Accuracy in handling and accounting for money
  • Previous experience as a medical receptionist is an advantage, but full training will be provided
  • Some knowledge of medical terminology is helpful
