The Opportunity
The
Events Operations Specialist
provides hands-on support in the planning and delivery of ecoPortal's sponsored and community events. Working closely with the Events Manager, Events Operations Specialist, Events Co-ordinator, and the wider Marketing team, this role helps ensure events are well-organised, engaging, and run smoothly from start to finish.
By seamlessly overseeing all aspects of event coordination—from initial planning through to post-event analysis—this specialist will play a pivotal role in solidifying and expanding ecoPortal's influence and engagement globally.
Key responsibilities
Event Management
- Plan and execute successful sponsored events in NZ, AU and UK/EU. Full end-to-end management including but not limited to trade shows, conferences, lunches/dinner, awards.
- Event management includes third party liaison, run pre-event briefings, manage swag, budgeting, logistics, and post-event analysis.
- Execute full event debriefs at the conclusion of each event, and disseminate thai information to appropriate stakeholders for consideration. And, make recommendations for improvements and future attendance.
- Collaborate with the Sales team for pre and event follow up and communications.
- Work closely with the content and creative teams on all event related comms, branding, promotion, collateral and associated marketing.
- Collaborate with cross-functional teams (sales, customer success, marketing, and product) to ensure events align with overall business objectives and provide value to attendees.
- Evaluate the success of events and report on key metrics, including attendance, lead generation, pipeline contribution, and ROI.
Community Engagement and Activation
- Alongside the Head of Events, research the best H&S events in our target regions and recommend future events.
- Lead ecoPortal's involvement in health and safety networks, infiltrating key communities, where applicable, attending industry gatherings, and establishing partnerships to strengthen ecoPortal's reputation and presence.
- Seek out bespoke opportunities for ecoPortal to participate in local, intimate, and partner industry events to increase brand awareness.
- Develop and manage relationships with our prospects, customers and those in the Health and Safety industry and build a sense of community within ecoPortal's customer base.
- Develop and manage relationships with industry influencers, thought leaders, event organisers, and industry professional organisations.
Qualifications & Experience
- A Bachelor's degree in a suitable field (this may include, but is not limited to these majors) - Business, Marketing/Events, Management, Communications.
- A minimum of 3 years experience in business events design and execution
- Strong organisational skills with excellent attention to detail.
- Clear and confident communication skills, both written and verbal.
- Ability to manage multiple priorities and adapt quickly in a fast-paced environment.
- A proactive, can-do attitude with a willingness to take initiative.
- Team player with strong interpersonal skills and a customer-first approach.
- Previous experience in events, customer service, or marketing is an advantage.
- Comfortable using Google Workspace (Sheets and docs, and familiarity with marketing tools like Trello and Hubspot a bonus).
