About the Team:

The Finance Team is responsible for the overall financial management and support processes within Airways, including transaction accounting, financial reporting, and general ledger support to business units, financial IT systems, procurement, property management, capital planning, statutory reporting and management reporting.

About the Role:

Join our Auckland based team as a Senior Executive Assistant on a full-time permanent basis, supporting our Chief Financial Officer (CFO) and the wider finance team.

Key tasks and responsibilities:

  • Provide proactive executive support including but not limited to diary, correspondence, document and travel management (CFO and SLT).
  • General financial tasks such as actioning purchase orders and approvals, processing expenses and supplier set-up.
  • General office administration, ensuring the team are enabled to succeed including setting up new starters, desk allocation, replenishing stationary and related.
  • Ensure corporate governance and regulatory compliance are maintained whilst assisting with the preparation and distribution of board papers, annual reports and statutory documents.
  • Governance support such as:
  • Preparing Committee meeting agendas, supporting documents and minute templates, including informing Executive Assistants of deadlines and progress
  • Finalising Committee and Board minutes and maintain accurate records in, accordance with the Companies Act, of all minutes, resolutions and other documents
  • Updating Board and Committee action tables in accordance with minutes and ensure that these are entered onto the following relevant meeting's agenda;
  • Acting as 'back up' to the EA to the CEO on board administration.
  • Manage the Select Committee database including issuing and collating the annual Select Committee questions and responses. Following appropriate reviews, formulate and submit formal response document to Treasury.
  • Act as a conduit between our external insurance brokers and internal stakeholders requiring clarification on insurance, as well as leading the renewal process.
  • Support the legal team's interactions with internal stakeholders towards ensuring we have appropriate insurance cover.
  • Drive continuous improvement ensuring administrative processes are fit-for-purpose and resources allocation are effective.
  • Support the Executive and Senior Leadership Team with projects for example, the coordination and management of morning tea celebrations, annual conferences and related events or ad hoc tasks.
  • Coordinate and support the Executive Assistant (EA) network.

This role is based in The Quad (Leonard Isitt Drive, Auckland Airport) which is within walking distance from Woolworths, Chemist Warehouse, Jetts Fitness, cafes, take-away shops, and restaurants.

About You:

Due to the nature of the role and our operations, you'll be comfortable working in a complex, regulated environment and hold exceptional communication skills, with the ability to engage and influence others.

Additionally, you will have:

  • Relevant tertiary qualification or equivalent experience gained providing administrative support at executive level.
  • High level experience in electronic document management systems and in the MS Office 365 suite including Excel, Word, Outlook, PowerPoint, SharePoint and Teams.
  • A proven track record providing support at an executive level with exceptional written and verbal communication skills.
  • Experience with financial and relationship management,
  • Ability to efficiently prioritise competing priorities, taking the bigger picture and implications into consideration.
  • Demonstrated interpersonal skills and high EQ, with the ability to work with diverse teams and people. Culturally sensitive, considerate and confident when dealing with others.
  • Ability to work in a dynamic business environment, collaborate with people internally and externally, show resilience and agility, take ownership and focus on delivering successful business outcomes.
