the role
We are looking for a self-starter to join our Facilities and
Infrastructure team. This newly appointed role will be responsible for the
coordination of multiple projects. You will be deadline focused with an eye for
detail. A real communicator with an understanding of the construction sector
and what it really takes to keep projects on track.
The
Programme Coordinator is responsible for supporting and coordinating multiple
projects and resources as directed by the Project and Programme Manager(s)
using professional project methodologies.

Some of the tasks you will be

**responsible for**:

- Supporting and maintaining relationships with

stakeholders and governance groups throughout projects to enable delivery.
- Coordinating and supporting of project and
programme meetings including the drafting and coordination of meeting agendas
and minutes.
- Maintaining decisions registers.
- Coordinating production of project and
programme documentation, updating plans, schedules, funding, and resource
requirements as required.
- Facilitating review and sign-off processes of
project documentation or contracts.
- Coordinating and assisting with the planning
and management of resources, subcontractors and consultants as directed by the
Project/Programme Manager, including engagement, on-boarding, administration of
provider contracts and ensuring appropriate wellbeing, health and safety
measures are in place.
- Assisting with the management of services,
vendors, contracts and reporting on outcomes.
- Assisting with the arrangement for payment of
accounts in a timely manner and monitoring project costs and change requests to
remain within allocated budget and coordinating scope change requests through
the relevant delegations if required.
- Assisting with monitoring risks and issues.
- Assisting with the monitoring milestones and
deliverables to track progress.
- Assisting with the identification and management
of dependent tasks across multiple projects and programmes.
- Assisting with the production of reports and
presentations using organisation prescribed frameworks, tools and templates.
- Maintaining file and folder structures and
collation of project / programme documents for the Project and Programme Manager(s)Ngā pūkenga me ngā wheako
- Skills and experience
Essential
- A tertiary level qualification in applicable field or project

coordination experience within the construction industry
- Experience supporting multiple projects, as well as groups and
individuals involved in them
- Knowledge and understanding of project
management methodologies Experience using project management software
and tools
- Schedule and diary management for multiple
stakeholders
- Exceptional verbal, written and presentation
skills
- Experience of processing and monitoring vendor
payments.
- Advanced computer skills and proficient
knowledge and experience with the Microsoft Office Suite, with in-depth
knowledge of Microsoft Word, Excel and PowerPoint.Desired
- Experience and knowledge of Public Sector
