Personal Assistant to Chief People Officer

Are you an exceptional organiser with a knack for multitasking and a passion for supporting high-level leadership? We have a fantastic opportunity for you to join our team as a Personal Assistant to the Chief People Officer (CPO)
This is a new role within our team so you will have the opportunity to start afresh and make it your own. Essential for this role is your sense of humour and ability to build relationships across the organisation.
In this role, you'll be pivotal in ensuring smooth operations, managing schedules, coordinating meetings, and handling various administrative tasks with efficiency and discretion for the CPO.
In this key role, you will:
- **Master the Inbox**: Efficiently manage and coordinate the Chief People Officer’s inbox, schedule, and events, ensuring seamless communication and timely responses.
- **Draft and Prioritise**: Prepare correspondence, draft responses, and prioritise crucial matters, ensuring that all high-priority items are addressed promptly.
- **Meeting Maestro**: Provide top-notch support for meetings, from preparation and action follow-up to minute-taking and distribution.
- **Financial Guru**: Handle financial administration for the People & Culture (P&C) Team, including purchase orders, invoicing, and reporting.
- **Policy & Compliance Champion**: Ensure adherence to council policies and legislative obligations while overseeing the review and communication of P&C Team policies.
- **Project Partner**: Offer support for various projects, facilitating smooth operations and successful outcomes.
- **Accreditation & Membership Coordinator**: Oversee memberships, accreditation, partnerships, and system renewals.
- **Audit Liaison**: Collaborate with Internal Audit to maintain an up-to-date conflicts of interest register.
- **Event Coordinator**: Facilitate and coordinate functions and meetings for both internal and external participants, and handle invitations and event logistics.
- **Documentation Specialist**: Prepare interview documentation and ensure that all materials meet design and presentation deadlines.
- **Team Builder**: Organise team-building functions and collaborate with the Learning & Development Advisor to arrange training sessions, events, and venues.
- **CDEM Support**: Assist the Civil Defence Emergency Management (CDEM) team with training organisation, personnel information sourcing, record maintenance, and reporting.
**What you’ll bring to the role**:
- National Diploma Level 5 or similar qualification
- Over 5 years of experience as a Personal Assistant, Legal Secretary, Contract Administrator, or in a similar analytical role
- Proven ability to manage diaries and meetings
- Experienced in handling, delegating, and responding to correspondence
- Skilled in preparing Council papers, including drafting agendas and minutes
- Proficient in word processing and Microsoft Office, especially Word and Excel
- Capable of building effective working relationships
- Efficient, discreet, flexible, self-motivated, well-organised, and proactive
Excellent written and verbal communication skills
