THE ROLE
As the Support Services Partner, you will be the key support to the Head of Customer & Product and the Head of Enterprise Optimisation. You’ll play an active integral role to the wider teams ensuring the smooth running of the business in an efficient, accurate, confidential and proactive manner. You will work within a team committed to enhancing its operational excellence to ensure team coordination, efficiency and effectiveness in all areas of administration.
WHAT YOU'RE RESPONSIBLE FOR
- Executive Support: Provide proactive, efficient, accurate and confidential executive support, assisting leaders with diary management ensuring they are prepared and able to meet all commitments and action points prior to meetings
- Internal Representation: Act as an accessible key contact point on behalf of the SLT, maintaining discretion and confidentiality
- Meeting Coordination: Arrange and handle all logistics for meetings: schedule meetings, arranging room bookings, drafting agendas, and developing, compiling, and distributing presentation materials
- Travel Coordination: Travel and accommodation bookings (domestic and international), and super user of online travel tool. Liaison with travel agency as required
- Event Coordination: Assist with arranging and handling of all logistics for events: drafting event run sheet or program, distribution of invitations, coordination of venue, presenters, catering, transport and any other logistics as and when required
- Communications: Manage internal/external communications professionally, proactively and promptly as required. Compose documentation (e.g. presentations, reports, letters) on behalf of leaders and team as required
- Operational Delivery: Support team priorities by attending regular key meetings and taking and follow up on action points along with minute taking where required
- Health and Safety: ensure H&S Guidelines adhered to, safety induction completed for new staff, H&S Audit completed within timeframes, H&S Information/Newsletters are communicated out to the team
- New Starter Onboarding: support the induction of new team members, in particular sourcing computer hardware, mobile phones, ID, access cards and health and safety induction
**WHAT SKILLS & EXPERIENCE YOU NEED**
- Solid experience in a PA role in a corporate environment, supporting a senior leader or executive
- Excellent oral and written communication skills, including proven ability to communicate effectively with senior stakeholders
- Seen as a trusted advisor / partner, developing and maintaining positive relationships, both internally and externally
- Inclusive approach and exhibits openness to new ideas
- Maintain confidentiality and display judgement and discretion particularly when dealing with sensitive matters
- Be well organised, precise and methodical, resilient and able to work under pressure with a demanding and fluctuating workload
- Exhibit flexibility and initiative with problem solving ability
- Be able to work autonomously across numerous areas and prioritise accordingly
- Demonstrate a commitment to own professional development by regularly updating skills base
- Be a team player, willing to help others
