Two exciting opportunities have arisen for an experienced Lead Administrator to support the Centre for Early Learning in Medicine (ELM) within the Otago Medical School (OMS) and the Departments of Medicine and Surgical Sciences within the Dunedin School of Medicine (DSM).
Lead Admin Early Learning in Medicine
In this role you will lead staff and manage the provision of administration support. You will also be involved in supporting medical students’ assessments, examinations, teaching modules, student placements, process improvement, strategic initiatives, and special projects.
You will support a team of on-site Client Services Administrators based in the Hunter Centre and working closely with key academic staff including the Director ELM.
You will be required to regularly communicate and work closely with all stakeholders, ensuring your staff are trained appropriately and where necessary act as or organise support staff to cover periods of absence.
This a rewarding and empowering role where you will enable and encourage your staff to grow and flourish to be in the best position to support 600 students through the first two years of their medical degree.
Lead Admin Medicine/Surgical Sciences
In this role you will lead staff and manage the provision of administration support. You will also be involved in supporting department specific programme delivery, teaching modules, department specific commercial activities, student placements, process improvement, strategic initiatives, and special projects.
You will support a team of on-site Client Services Administrators based in the Dunedin Public Hospital and working closely with key academic staff including the Head of Department for Medicine and the Head of Department for Surgical Sciences.
You will be required to regularly communicate and work closely with all stakeholders, ensuring your staff are trained appropriately and where necessary act as, or organise, support staff to cover periods of absence. There is a significant amount of recruitment activity in this role so organisation, communication and HR policy knowledge is key.
This a rewarding and empowering role where you will enable and encourage your staff to grow and flourish to be in the best position to support 300 students through their last three years of their medical degree.

You will be a highly organised self-starter, who enjoys problem solving on the fly and is excellent at building and maintaining effective relationships with clients, students, and colleagues.
Knowledge and experience in people and relationship management is an absolute must for this position.
- Considerable experience in a busy and/or complex administration environment.
- A passion for customer service and delivering exceptional service to customers.
- Previous supervisory experience or exposure to managing teams.
- An ongoing commitment to positive outcomes for our students, staff and visitors.
- The ability to be calm, adaptable and flexible in a fast-paced environment.
- Strong Microsoft Office skills, especially excel.
- An understanding of the medical programme would be advantageous.

Lead Administrator Clients Services roles are part of the Shared Services Division, a team of highly skilled professional staff responsible for delivering an outstanding student and staff experience through high quality, effective service delivery to the University’s internal and external customers.
You will be working in a team of 6 Lead Administrators within the Otago Medical School/Dunedin School of Medicine, and as part of the wider Shared Services Division, reporting to the Senior Manager Client Services of the Otago Medical School and Dunedin School of Medicine.
Your relationship building skills will be important, ensuring that you become the trusted point of contact for a range of students, staff, and visitors.
