Administrative Support Coordinator

About this Role:
Job DescriptionWe are seeking a highly skilled Programme Management Specialist to join our team in Wellington. The successful candidate will be responsible for providing administrative support to the Portfolio team, ensuring seamless project operations and exceptional client satisfaction.
- Contract Duration: 6 months (with potential extension)
- Start Date: ASAP
- Location: Wellington (Hybrid – 1 day WFH)
Key Responsibilities:
- Administering project activities, including meeting coordination, agenda preparation, material distribution, and minute-taking.
- Financial management, encompassing purchase orders, invoices, contracts, and record maintenance.
- Maintaining project artifacts, such as risk registers, issue logs, action trackers.
- Project list and report updates for tracking project and financial performance.
- Recruitment and onboarding support for contractors and vendors.
- Utilizing Microsoft Suite, Jira, Oracle, Helix (Remedy), Planview, and other tools to optimize productivity and efficiency.
- SAFe ceremony facilitation and Agile project practice implementation.
Requirements:
- Proven experience in programme management and coordination.
- Expertise in financial management and reporting.
- Exceptional communication and interpersonal skills.
- Highly organized and detail-oriented, with excellent priority management.
- IT services or public sector experience is advantageous.
