The Role
We are seeking an experienced Office Administrator to coordinate office operations and procedures, assist with marketing and invoicing, and maintain efficient filing systems.
Key Responsibilities
- Coordinate office operations and procedures
- Assist with marketing, emails, and letters
- Invoice and costs into Xero
- Maintain training register and booking training
- Assist with booking travel and accommodation
- Timesheet checking and chasing from 25 staff
- Process Improvement
- Assist with larger job setup, loading budgets, and tracking costs
- Maintain efficient filing and record-keeping systems
- Provide administrative support to the management team
- Handle incoming phone calls and visitors
- Order office supplies and workshop consumables
- Assist with the planning and coordination of meetings and events
- Health and safety responsibilities
Requirements
- Proven experience as an Engineering Office Administrator or similar trades role
- Excellent organisational and time management skills
- Strong communication and interpersonal abilities
- Familiarity with using Microsoft Office suite
- Ability to work independently and as part of a team
- Attention to detail and a problem-solving mindset
- Knowledge of office equipment and procedures
- Leadership skills and the ability to coordinate others when required
