We are seeking a highly skilled and motivated Clerical Support Specialist to join our team at the Auckland City Hospital. The successful candidate will provide effective and efficient administrative support to the Clinical Director, allied health service clinical teams, and managers.

About the Role

\

This is a permanent, full-time role that requires a high level of organization, flexibility, and prioritization skills. As a Clerical Support Specialist, you will be responsible for providing activity coordination within designated services, including supporting Service Clinical Director and Clinical Leads with daily administrative duties, such as diary management, meeting planning, and minute-taking.

Key Responsibilities

The key responsibilities of this role include:

  • Providing administrative support to the Clinical Director and Clinical Leads, including diary management, meeting planning, and minute-taking.\
  • Supporting allied health service clinicians with administrative work as required.\
  • Receiving email and telephone information requests, greeting visitors appropriately, and following up with appropriate actions.\
  • Ensuring that the appropriate levels and standards of customer service are delivered.\
  • Maintaining administration processes for leave and other HR matters as required.\
  • Asset management, including fleet, mobile phones, PCs, and laptops.\
  • Administering purchasing of clinical and non-clinical resources.\
  • Working in a team environment to achieve goals and objectives.\

About You

\

To be successful in this role, you will have the following skills and attributes:

You will have relevant tertiary qualifications in business or health, experience working in a healthcare environment, familiarity with medical terminology, and proficiency in health information systems. You will also have excellent communication and interpersonal skills, sound MS Office ability, and the ability to work collaboratively with a range of professional groups in a multidisciplinary setting.
