About the role

We're seeking an experienced Administrative Support Specialist to provide critical support to our Executive Leadership Team, Board, and wider organisation in a fixed-term position for 12 months.

This role involves providing exceptional administrative support to senior staff members, overseeing daily office operations, and supporting the Board in various capacities.

Key responsibilities include:

  1. Managing the CEO's calendar, arranging travel, preparing documents, coordinating meetings, taking minutes, planning events, and providing general support as needed.
  2. Overseeing office supplies, contracts, supplier relationships, recycling, meeting room bookings, and carpark roster to ensure seamless day-to-day operations.
  3. Supporting the Board by preparing Board papers, organising meetings and travel, producing minutes, and ensuring a smooth election process for new members.
  4. Assisting with recruitment processes, coordinating staff inductions, maintaining personnel records, and ensuring policies are read and signed.

Required skills and qualifications include:

  • Strong knowledge of administration best practices and business operations.
  • Exceptional organisational and time-management skills, with the ability to prioritise effectively and juggle multiple tasks.
  • Excellent oral and written communication skills, with the ability to take high-quality, detailed minutes and troubleshoot basic IT user issues.
  • A keen eye for accuracy and attention to detail, with strong project management and event planning skills.
  • High proficiency in Microsoft Suite and familiarity with recruitment and induction processes.
