Position Overview:

The role of Senior Executive Administrative Assistant will serve as a key support partner to leaders within the organization. This individual will be responsible for coordinating executive-level projects, preparing and editing weekly reports, using analytical skills to review and recommend changes to reports, scheduling meetings, managing calendars and expenses for executives, and anticipating their upcoming needs in a rapidly growing environment.

Job Description:

  • Prepare comprehensive reports, proposals, and statistical tables by request.
  • Coordinate and schedule executive/corporate/visitor tours.
  • Identify and resolve problems in a timely manner as necessary.
  • Liaise with corporate staff, internal staff, and external clients at all levels.
  • Communicate effectively with executives, administrative personnel, and line management to gather and convey information pertaining to the Executive office and responsibilities.
  • Provide backup main receptionist coverage when needed.
  • Manage complex schedules, prepare agendas, and coordinate logistics for meetings and events.
  • Maintain highly confidential files and records.
  • Schedule travel arrangements, prepare expense reports, and handle catering requests.
  • Act as a resource for answering routine matters and referring them to appropriate parties for action.
  • Develop and maintain effective working relationships with colleagues, stakeholders, and external partners.
