Overview:
The Facilities & Real Estate Manager plays a leading and pivotal role in Warner Bros. Discovery (WBD) ANZ. This role will require an experienced, organized, conscientious and hardworking professional to develop metrics, operational standards and deliver excellent results, within a client-facing and customer service-oriented team.
The role will collaborate heavily with multiple internal divisions: from IT, Broadcast, People & Culture, Communications, Strategy as well as other functions/management at multiple levels to provide both operational solutions and strategic recommendations.
Manage, and monitor all service lines under the real estate and facilities portfolio including all hard and soft services such as general upkeep and cleaning of the premises and maintenance and repair of all installed supporting infrastructure. Ensure all contracts are current, up to date and monitored for correct levels of service fully incorporating the ongoing needs of the company and providing a total facilities management service.
Oversee and manage small construction and fit out project works and changes to the workspace environment, ensuring mínimal levels of disruption to the business and compliance with all statutory processes and procedures.
Reporting to the senior director of APAC Facilities and Real Estate, this role will also work and collaborate in close partnership with the wider global WBD teams to ensure proper alignment with globally applicable approaches and standards.
The Facilities & Real Estate manager must have exemplary time management and organisation skills with a logical common-sense approach to solving problems and issues. He/She must be able to prioritise quickly to support both mission critical activities and day-to day operations.
As team leader of the ANZ Facilities & Real Estate team, the individual will be expected to respond to emergencies outside of normal hours, working with contractors and suppliers to resolve any issues. He/She must be a team player with good communication skills and work ethic.
**Responsibilities**:
- Manage the Facilities Helpdesk, Handyman, Facilities Maintenance, Post room, and cleaning contracts in a fair, consistent, transparent and results-oriented manner which maintains and enhances the reputation of the services provided.
- Work closely and collaboratively with the Security teams on the security of TV sites, as well as the Health & Safety teams with regards to facilities related activities.
- Assist with the management of the company’s fleet portfolio.
- Liaise with the landlord on all Real Estate issues, problem resolution with the office space, fire and security etc.
- Interacts, collaborates and supports management in the delivery of workspace projects in the APAC region.
- Work closely with peers across multiple business office locations within WBD - including joint ventures, subsidiaries, etc. - to ensure consistency of service delivery and appropriate approach and results within WBD New Zealand.
- Incorporate appropriate performance metrics ensuring best value from the supply chain and supplier, with regular monitoring of supplier performance against the applicable benchmarked criteria and KPIs, ensuring objectives and responsibilities are met.
- Work with suppliers to identify actions to address areas of sub-par performance, reviews/approves plans from suppliers to mitigate, monitor their effective implementation and provides ongoing training/awareness on required SLAs and KPIs.
- Identify positive / negative trends in performance and continuous improvement opportunities to reduce cost, avoid unnecessary spend, improve quality and performance and take proactive corrective action where necessary in consultation/collaboration with Senior Management.
- Planning, forecasting and management of the WBD NZ facilities budget, approving costs with DOA (delegation of authority) and escalating costs outside of DOA to Senior Management.
- Ensure all contract documentation is reviewed and supplier service level agreements are documented, enforced and updated, on a regular basis. Strategically and proactively seeking and leveraging ways to improve upon common services across WBD’s suppliers for WBD/ANZ.
- Ensure that all of the suppliers in the WBD NZ supply chain are contractually compliant and ensure suppliers are working safely at all times.
- Address statutory compliance obligations in particular and close collaboration with Health & Safety obligations to minimize the risk of failure.
- Ensure compliance with any applicable procedures e.g. the audit and verification process, security and access requirements including business continuity processes.
- Maintain high level of rigour in following WBD processes and procedures. This includes weekly meetings and reports to management, budget forecasting and reporting.
