**ABOUT THE ROLE**:
This role would suit a highly organised, detail-oriented and collaborative Administrator, who is available immediately and looking for temporary work until December 2023.

**DUTIES**:

- Support the delivery of Project Team tasks, including coordinating production of materials for project deadlines.
- Support development and maintenance of programme strategies, including monitoring implementation of these strategies.
- Creation of new processes/procedures and amendments to existing processes and procedures, to enhance the management of projects and the effectiveness of the teams.
- Develop and maintain finance and resource justifications, plans and approval briefs that support and underpin the programme as it develops / changes. As well as this, liaise with the procurement team and contractors to manage contracts and purchase orders.
- Provide support and assistance to the assigned managers including general administrative support, and general communications with other team members.
- Collect, collate and actively share information (including plans, status reports and financials) across Urban Design teams, and wider internal groups to provide better cohesion and identification of opportunities for collaboration across projects. Act as the go-to point for questions and requests for information about the programme. Create and direct the team filing activity.
- Provide support for team meetings, including, maintaining an accurate and up-to-date schedule of meetings, distributing the agendas and papers required for the meeting, attending meetings, accurately recording minutes and distributing these.

**SKILLS & EXPERIENCE**:

- Experience in providing coordination support for large and/or complex projects and/or programmes.
- Demonstrated experience in establishing and maintaining effective working relationships at all levels of the organisation
- Experience in prioritising demands, meeting deadlines and delivering desired results by taking ownership, using effective self and time-management approaches and paying attention to detail.
- Administration and reporting experience with exposure to project management methodology, including quality systems; health & safety reporting and project planning.
- Demonstrated ability to clearly and concisely convey information and ideas in both oral and written communication
- A proactive, enthusiastic approach and an ability to work with a minimum of supervision on a day-to-day basis
- **You must be eligible to work in New Zealand**
